Snowhotel Family: From Scattered Partner Data to an AI-Assisted CRM Inside Microsoft 365 & SharePoint
Tietotalo built a lightweight SharePoint-based CRM for Snowhotel Family, with Power Automate follow-ups and a Copilot Studio AI agent, all inside the client's own Microsoft 365 environment.
A growing partner network, data spread across too many files, and traditional CRM systems that were too heavy and too expensive. The fix was already sitting inside Microsoft 365.
Snowhotel Family is a well-known tourism company in Finnish Lapland. Its business includes Arctic SnowHotel & Glass Igloos, Snowman World, and Piparina Day Cabins & Dining. International cooperation with tour operators, agencies, and other partners plays a central role in day-to-day operations.
As the partner network grew, keeping track of it became increasingly difficult. Partner data was spread across multiple files and tools with no single view of contacts, history, or documents. Follow-ups depended heavily on manual work, and conventional CRM platforms felt too complex, too heavy, or too expensive for what the company actually needed.
Tietotalo designed and implemented a lightweight CRM solution for Snowhotel Family using Microsoft SharePoint, Power Automate, and Copilot Studio. The goal was to centralise partner data, automate follow-up tasks, and bring AI-assisted information retrieval into daily work, all within the client's own Microsoft 365 environment, without any dependency on a third-party CRM platform.
The challenge
Snowhotel Family needed a practical solution for a situation most growing businesses recognise: partner information managed in several different places, no single reliable view, and follow-up work that fell through the cracks when it relied entirely on individuals remembering to act.
The main challenges were:
- Partner data scattered across several tools and files
- No central view of contacts, history, or documents
- Follow-ups dependent on manual work with no systematic prompts
- Existing CRM systems too heavy, too complex, or too expensive
- A firm requirement that data ownership remain entirely within the client's own environment
The solution needed to be simple to use, easy for staff to adopt, scalable as the partner network grew, natively compatible with Microsoft 365, and built entirely inside the client's own environment rather than in a third-party system.
The solution: a lightweight CRM built on SharePoint and Power Platform
Tietotalo designed and built the solution using tools Snowhotel Family already had access to through Microsoft 365, with no new platform licence required. Three components work together as a single system.
- Centralised partner register in SharePoint: a SharePoint-based partner register brings all key information into one place: contact details, account ownership, follow-up history, and key partnership-related materials. This created a single reliable source of truth for the entire partner network, replacing the scattered files and spreadsheets that had previously held different pieces of the same information.
- Automated follow-ups with Power Automate: Power Automate workflows create follow-up events in the calendar and assign them directly to the responsible person at the right time, without anyone needing to manually remember. Manual work decreased, fewer follow-ups were missed, and partner communication became more consistent and proactive.
- Structured partner documentation in SharePoint libraries: a dedicated folder structure was created in SharePoint for each partner, storing agreements, key documents, partner history files, and ongoing collaboration notes in one place. When information is stored in a structured way and in one location, it is easier to find and easier to keep up to date.
- AI assistant built with Copilot Studio: a Copilot Studio agent was embedded directly into the SharePoint site. It uses the partner register, historical files, and internal guidelines as its source material, so staff can ask questions in plain language: when was the last contact with this partner, who is responsible for this account, what agreements are currently in place. Information retrieval is fast, conversational, and does not require knowing where to look in the file structure.
The results
- All partner data in one place: partner information is now stored in a single, structured location in SharePoint, visible to everyone who needs it.
- Time saved on searching: staff no longer have to dig through emails, separate files, and different systems to find information about a partner relationship.
- More consistent partner communication: automated follow-up prompts mean regular contact happens systematically rather than depending on individual memory.
- Full data ownership: the solution runs entirely inside Snowhotel Family's own Microsoft 365 environment, with no reliance on a third-party CRM platform and no data leaving the client's own systems.
- AI-driven information retrieval: the Copilot Studio agent makes it faster and easier to surface the right information without navigating file structures manually.
Why it matters
This project is an example of a pattern that works well for small and medium-sized businesses: using the Microsoft 365 toolset a company already pays for to solve a real operational problem, rather than purchasing a separate platform, accepting a new data dependency, and going through a heavyweight implementation. For Snowhotel Family, the choice to build inside SharePoint and Power Platform rather than adopt a traditional CRM meant the solution was live quickly, staff adoption was straightforward because the tools were already familiar, and the company retained complete ownership of its partner data. Adding a Copilot Studio agent on top of that same data layer brought AI-assisted retrieval into daily work without any additional infrastructure.
