How Skýra Retreat Aligned Operations and Guest Experience Into One Digital Ecosystem

Skýra Retreat is a high-end experiential concept in Finnish Lapland, offering curated stays, wellness experiences, and intimate luxury in a natural Arctic setting near Rovaniemi. 

Designed as a “raw luxury” retreat, the concept focuses on stillness, nature, and meaningful experiences rather than traditional luxury standards. 

To support this vision, Skýra Retreat partnered with Tietotalo to design and implement a fully integrated digital foundation, aligning operations, systems, and customer experience into one cohesive ecosystem. 

The Challenge

Skýra Retreat combines multiple hospitality layers: 

  • Boutique accommodation 
  • Wellness programs and spa experiences 
  • Curated activities and retreats 
  • Personalised guest services 

Each stay includes structured daily experiences such as yoga, forest walks, sauna rituals, and sound baths, alongside tailored services and bespoke booking processes. 

This created operational complexity across: 

  • PMS, CRM, ERP, and distribution systems 
  • Booking and quotation processes 
  • Product and pricing management 
  • Customer communication and journey consistency 

At the same time, the brand required a high-end digital presence that reflects its philosophy of calm, exclusivity, and simplicity. 

 

Tietotalo approached the project from a hospitality-first perspective, combining industry expertise with structured digital design. 

The foundation was a comprehensive service design phase, covering: 

 

Internal (Cross-System) Design 

  • Alignment between PMS, CRM, ERP, and distribution channels 
  • Mapping real operational workflows 
  • Removing inefficiencies and manual steps 

External (Customer Experience) Design 

  • Full guest journey mapping from inspiration to post-stay 
  • Optimisation of website structure, booking flows, and content 
  • Alignment between digital touchpoints and the physical experience 

This ensured that operations and guest experience work as one system.

Service Design as the Core 

The service design phase translated Skýra’s concept into a clear operational and digital blueprint: 

  • Defined how systems interact 
  • Structured data flows across platforms 
  • Designed scalable processes aligned with hospitality realities 

Result: A strong foundation replacing fragmented operations. 

 

Website and SEO (InfoWeb Core CMS) 

The Skýra Retreat website was built using Tietotalo’s InfoWeb Core CMS, designed to reflect the concept of raw luxury: 

  • Minimalist, calm, and immersive structure 
  • Strong storytelling aligned with the retreat philosophy 
  • Clear presentation of accommodation, wellness experiences, and retreat packages available to be booked online 
  • SEO-optimized architecture to improve visibility 

The website emphasizes feeling over selling, allowing the experience to guide the user rather than pushing transactions. 

Result: A digital experience that matches the physical retreat.

A tailored operational system was implemented using Microsoft Power Platform:

  • Central interface for quotes, bookings, and customer management 
  • Field operations 
  • Designed specifically for hospitality workflows 

Power Automate 

  • Automation of quote-to-booking processes 
  • Notifications and follow-ups 
  • Cross-system data handling 

Power BI 

  • Real-time insights into sales performance, booking trends, and operations 

Result: A streamlined and scalable operational backbone. 

 

Microsoft 365 Consultation 

To support internal collaboration and structure: 

  • Implementation of SharePoint-based document management 
  • Use of Microsoft Teams for communication 
  • Clear governance for file storage, partner documentation, and internal processes 

Result: Organised, secure and scalable internal operations.
